AnyDoc Software Client St. John's University Receives AIIM Best Practices Award Honors

AnyDoc Software, a leading provider of automated document and data capture solutions, today announced that their client, St. John's University of Queens, N.Y., received the AIIM Best Practices Award for the Shoestring category. The accolades were presented during the 2006 AIIM Expo in Philadelphia, PA.

St. John's, one of America's leading Catholic universities, was honored for a solution designed to automatically capture data from over 100,000 pages of student applications and recruiter cards that the institution receives annually during its student enrollment and registration. The basis of the solution is OCR for AnyDoc(r) by AnyDoc Software, the premier industry solution for document and data capture. AnyDoc value-added reseller Strategic Business Systems of Ramsey, N.J., implemented the solution for the university.

Before the solution was installed, St. John's employed two permanent, full-time staff members and 15 temporary personnel to promptly enter the data manually from the student applications and recruiter cards into the university's student information system in time for enrollment. But the process was fraught with errors, and mailed information packets were often returned due to incorrect addresses.

St. John's solution automated the cumbersome and costly process. Now, they feed their applications and recruitment cards into a duplex Fujitsu 4340C scanner. After scanning, OCR for AnyDoc automatically extracts the student data from these scanned document images, based upon the university's defined business rules, and provides both the data and a digital image that are submitted for use in the student information system.

The university now processes the same amount of work with their two fulltime employees alone, so the temporary staff is no longer required. Additionally, returned mail has been virtually eliminated due to OCR for AnyDoc's ability to automatically verify student addresses. In fact, all student data is significantly more accurate with the solution in place. The employees now can focus less on data processing and more on student recruiting, the students now receive their information packets quicker, and student applications get evaluated without delay.
